To make writing easier to read, keep most sentences under about 20 words, use short paragraphs of two to four sentences, choose common words over jargon, prefer active voice (“we fixed the bug” rather than “the bug was fixed”), and break long text with clear headings and lists. Readability scores such as Flesch Reading Ease measure sentence length and word length, so they are a useful check, but the real test is whether your intended reader understands the point on the first read.

Key takeaways
  • Short sentences and short words make text faster to understand.
  • Active voice makes it clear who does what.
  • Headings, lists and white space help people scan, especially on phones.
  • Use readability scores as a guide, not a goal.
  • The free AI Text Humanizer can simplify stiff text in one click.

The terms and conditions nobody understood

A small courier company noticed that customers kept calling with the same question: what happens if a parcel is damaged? The answer was on their website, in paragraph six of the terms, inside a 74-word sentence that began “Notwithstanding the foregoing provisions”.

They rewrote it as: “If your parcel arrives damaged, take a photo and message us within 24 hours. We will refund or replace it.” The calls dropped. Nothing about the policy changed. Only the readability did.

Clear writing is not “dumbing down”. It is respect for your reader’s time.

Readability rules that actually work

One idea per sentenceIf a sentence has “and” twice and a comma four times, split it.
Front-load the pointPut the main message at the start of the sentence and the paragraph.
Common words“Use” not “utilise”. “Help” not “facilitate”. “Start” not “commence”.
Active voiceName who does the action. It is shorter and clearer.
Short paragraphsTwo to four sentences. On a phone screen, long paragraphs look like walls.
SignpostsHeadings that say what the section answers, and lists for steps or options.

Active vs passive voice

Passive voice is not banned. It is useful when the actor does not matter (“The shop was built in 1998”). Just do not let it become your default.

What readability scores measure

The Flesch Reading Ease score rates text from 0 to 100 using average sentence length and average syllables per word. Higher means easier.

ScoreRoughly readable byGood for
70 to 80Age 12 to 13Blogs, websites, marketing, product pages
60 to 70Age 13 to 15General news, most business writing
30 to 50University levelAcademic and technical writing
Below 30Graduate levelLegal and specialist text

WordPress users with Yoast SEO already see a readability analysis that checks sentence length, paragraph length, passive voice, transition words and subheading distribution. Other free options include the Hemingway Editor.

Scores only count lengths. A sentence can score well and still be confusing, or score poorly because it contains one necessary technical term. Always pair the score with a human read.

Edit for readability in 6 steps

  1. Define your readerA customer on a phone, a manager skimming, a student studying? Write for that person.
  2. Write the main point firstSay it in one sentence at the top.
  3. Split long sentencesAnything over about 25 words is a candidate.
  4. Swap hard wordsReplace jargon and formal words with everyday ones, or explain them once.
  5. Fix structureAdd headings that answer questions, turn steps into numbered lists.
  6. Test itRun a readability check, then ask someone in your audience to read it and tell you the main point.

Readability and SEO

Google does not use a readability score as a direct ranking factor, but clear writing helps people find answers, stay on the page and trust you. It also helps AI search tools quote your content accurately, because a clear, direct sentence is easy to extract. That is why the guides on this site open with a one-paragraph answer.

What is a good readability score for a website?

A Flesch Reading Ease score of about 60 to 80 suits most websites, blogs and marketing pages. Technical and academic texts usually score lower.

How long should sentences be for easy reading?

Keep most sentences under about 20 words and mix in some shorter ones. Split anything over about 25 words if you can.

Is passive voice always bad?

No. It is useful when the person doing the action does not matter. Use active voice by default because it is shorter and clearer.
